Your personal information and how we respect it!

Movem Live protects your privacy and always strives for a high level of data protection. This means that, for example, we would never sell your personal data to another company. Your private information should be safe with us.In this privacy policy, we explain how Movem Live collects and uses your personal information. It also describes your rights to your personal data. It is important that you understand the privacy policy and feel safe in our processing of your personal information. You are always welcome to contact us with any questions.

What is personal data?

Personal data is any kind of information that can be used to identify an individual. This may include information such as names, pictures and email addresses. Encrypted data and electronic identities, such as IP addresses and cookies that can be used to identify a natural person, are also counted as personal data.

Processing of personal data is everything that is done to the personal data. Examples of common processing are collection, storage, transfer and deletion.

Who is responsible for handling the data?

Whiteport AB, org. 556927-6982, at Klubbacken 49, Hägersten, Sweden, is the Data Controller and responsible for the processing of collected personal data.

Locations for data processing

Movem Live always strives to process personal data within the EU/EEA. However, some support and maintenance may require personal data to be transferred to a non-EU country, for example, if we share personal data with a Data Processor that, either by itself or through a subcontractor, stores information outside of EU/EES. The level of protection of personal data is guaranteed through approved code of conduct in the recipient country, standard contract clauses, binding company internal rules or Privacy Shield in these cases.

Duration for data storage

Movem Live never stores personal data longer than necessary for each respective purpose. You can read more about the retention periods under each corresponding purpose.

Data collected

In order to be able to provide the best possible service as well as fulfilling our commitments to our customers and event attendees as well as our legal obligation as a business we collect data about our visitors and customers. Here are the main purposes for this data and how it is processed and stored. 

To handle product- and event ticket purchases

The collection of your personal data is required to fulfil our obligations under the purchase agreement. Movem Live’s commitments cannot be fulfilled without this personal data, and we are therefore forced to refuse your purchase if personal data cannot be provided.

    • Delivery (including notification and contact regarding delivery).
    • Identification and age control.
    • Handling of payments (including analysis of possible payment solutions which can contain a check against payment history and credit reports).
    • Handling of complaint and warranty issues.
    • Handling event participation, event registrations
    • Handling access to online courses & recorded classes
  • Category of personal data
    • Name of customer
    • Names of event participants
    • Contact information (for example address, e-mail and telephone number).
    • Payment information.
    • Purchase information (for example an ordered item or if item is to be shipped to another address).
  • Retention period 
    • Until the purchase has been completed (including delivery and payment) and for a period of 3 years (according to the Consumer Buying Act), thereafter it’s stored in order to handle any complaints and warranty issues.
To fulfil the company’s legal obligations.

This collection of your personal data is required by law. If the information is not provided, our legal obligation cannot be met, and we are therefore forced to refuse your purchase.

    • Required communication and information to the public and customers about product alarms and product revocation in case of a defect or health hazard).

    • Until the purchase has been completed (including delivery and payment) and for a period of 7 years thereafter.
In order to handle customer service issues.

The processing is necessary to meet our and your legitimate interest in handling customer service matters.

  • Data processing
    • Communication and response of any questions to customer service (in digital channels, including social media).
    • Identification.
    • Investigation of possible complaints and support cases (including technical support).
  • Category of personal data
    • Name
    • Contact information (for example address, e-mail and telephone number).
    • Your correspondence
    • Details of purchase date, place of purchase, possible errors/complaints
  • Retention period
    • Until the customer service matter has been completed and up to 3 years for historical purposes.
Conduct and manage competitions.
  • Data processing
    • Communication before and after participation in a competition (for example address for delivery of prize).
    • Publication of winner on Movem Live’s Instagram page, at Movem Live.com and in the newsletter.
    • The choice of winner and the transfer of any winnings.
  • Category of personal data
    • Name
    • Social platform profile information.
    • Email address
  • Contact information to winner (address and telephone number).
  • Picture(s)
  • Retention period: Contest contributions in the form of images may be shown on Movem Live’s webpage but may be requested to be removed by sending a request to contact@Movem Live.se. Contact information to the winner is saved up to 3 years for warranty issues.
Newsletters with information and special offers.

The processing of data is due to Legitimate interest. The processing of email addresses only occurs when you become a customer, attend an event, participate in competitions or in other ways interact with us in a way where you share your e-mail address  with us. Your subscription might start when you sign up as a subscriber to our newsletter via the form on the web site.

    • Throughout the subscription period. It’s possible to unsubscribe from the newsletter whenever you feel like it. Email addresses for people who have unsubscribed may be saved up to 1 year before deletion.
Marketing and Retargeting

Marketing and retargeting on Google, Facebook and Instagram and other platforms is processed only due to the visitors Consent. A first-time visitor to Movem Live’s web site must give consent for cookies. The consent can be revoked at any time through the settings on the visitor’s browser.

Prevent abuse or prevent and investigate Illegal activities

Completion of legal obligation (if any) or justified interest. If no legal obligation exists, treatment is necessary to meet our legitimate interest in preventing abuse of a service or preventing and investigating violations of the company.

    • Technical data relating to devices used and its settings (for example IP address and platform).

    • From collection and for a period of 2 years thereafter.

Photos & video recording during events

As an attendee of an event arranged by Movem Live you understand that pictures may be taken as well as sound and video recordings may occur. As an organiser Movem Live may record for live online streaming purposes or with the purpose of repurposing in edited format as online courses sold separately or in the form of promotion material published in our marketing and communication. Recordings from our events may be published on our own website, YouTube channel, Social Media, newsletters and similar communication including printed format. 

Movem Live maintains copyright and any other intellectual property in photographs taken and/or in digitised recordings belonging to Movem Live. Photos and videos might also be taken by other participants or co-organizers in the event for personal use as well as marketing purposes. Photos and videos are not recorded with the purpose of recording any personal data and where this may occur it will be edited out or masked.

Where practically possible we will seek consent in advance of an event to, when possible, provide clear instruction on how you as a participant can request to not appear in frame. We will make the greatest effort to inform co-organizers and participants about this.

Sharing of data with third parties

In some cases, when it is necessary for Movem Live to divulge your personal information; these companies are called Data Processors. Data Processors handle personal data on Movem Live’s behalf in accordance with Movem Live’s instructions. Movem Live has Data Processors who help Movem Live with:

  • Transport (logistics).
  • Payment solutions (card-insolvent companies, banks, and other payment service providers).
  • Marketing (print and distribution, social media, media agencies or advertising agencies).
  • IT services (companies that handle necessary operations, technical support and maintenance of our IT solutions).

When Movem Live transfers personal data to a Data Processor, it only takes place for the original purpose of collecting the personal data from the beginning. In most cases, this purpose relates to Movem Live’s commitment to maintain its part of the purchase agreement when a customer has made a purchase. Written agreements are established with all Data Processors where guarantees are given for the personal data being handled only for the agreed purpose and the security of the personal data.

Movem Live sometimes transfers personal data to other companies that are Data Controllers, like Movem Live. This means that it is not Movem Live that determines how the personal data will be handled by the other company. Data Controllers that Movem Live shares personal information with are:

  • Companies that deal with general freight transport (logistics companies and freight forwarders).
  • Businesses offering payment solutions (card-insolvent companies, banks and other payment service providers).
  • Government authorities (police, tax authorities or other authorities) if we are required to do so by law or in the event of suspected crime.

Cookies

Cookies are small text files compiled of letters and numbers that are sent from Movem Live’s web servers and are saved in your web browser or device when you visit Movem Live.com. Some of our services require cookies to function properly, while some improve the services we provide. Some cookies are used to give us analytical information regarding your use of our services, and some are used to give you relevant marketing. It’s important for you to know that you can always change your settings for cookies in your browser. For example, you can change the setting to only use first-party cookies or delete cookies after you close your browser. Please be aware that some of Movem Live’s services may not function properly if cookies are blocked or deleted.

You decide about your personal data 

As a data subject you have rights to your personal data. You have the right to get information about whether Movem Live handles your personal data or not, and a right to access the personal data that Movem Live is processing. Furthermore, you have the right to request your personal data to be corrected if it is incorrect and request it removed if you believe that your personal data is processed unlawfully or object on legitimate grounds to its processing. 

Updating or Accessing Your Personal Information and Your other Privacy Rights

With some limited exceptions, you may access and update personal information held about you. If you want to inquire about any personal information we may have about you, you can do so by  sending us a written request by letter or email to the addresses to Whiteport AB as a Data Controller above. Please be sure to include your full name, address and telephone number and a copy of a document evidencing your identity (such as an ID card or passport) so we can ascertain your identity and whether we have any personal information regarding you, or in case we need to contact you to obtain any additional information we may require to make that determination. 

Corrections & deletion of personal data

You may request that we correct, delete, and/or stop or restrict processing or using personal information that we hold about you. If we agree that the personal information is incorrect or that the grounds for processing the information are not necessary to fulfil our commitment to our customer and as a business, the correction or deletion of the personal information should be performed without delay.
